MINUTES

Board of Trustees Study Session

Thursday, May 1, 2003

Traverse Area District Library

(minutes are unofficial until approved by the Board of Trustees)

The study session was called to order at 7:02 by President Mesch. Present were Mesch, Welch, Luyt, Brown, Lawrence, Maxson and Quick. Also present were Judson (Counsel), McGuire, Schneider and Bonhag (Staff), and J. Maxson (PCL).

McGuire reviewed his report to the Board on the Michigan Electronic Library (MeL) Catalog.  He recommended that TADL not participate in the project until some of the unknowns are resolved.  Following discussion, the consensus of the Board was that TADL probably should not commit to participate at this time.  McGuire and staff were directed to do further research into computer needs and costs for TADL’s local circulation and cataloging systems as well as what might be required to become compliant with the statewide system.

McGuire distributed a proposed Records Retention Policy.  It was discussed and then referred to Counsel for review, with a request to include operational procedures and to designate who would be responsible for implementing the policy and procedures.

The parking situation was briefly discussed.  McGuire will follow up with City officials regarding use of City property to the north of the Library.

The meeting was opened for public comment.  There was none.  Meeting adjourned at 7:20 p.m.

Respectfully submitted,

Albert Quick, Secretary

Shirley Mesch, President
